Mail Merge

An invitation to the general meeting, an annual notice to every customer, a letter to the whole staff: one text, many recipients, and everyone should be addressed properly. The mail merge takes the addresses from your Excel or CSV list, the customer file or the Personarium, sets every letter to DIN 5008 and, if you like, prints the address labels and envelopes too.

What Mail Merge does

Mail merges are the classic that small clubs, property managers and businesses keep despairing over. The address list sits in Excel, the letter in a word processor, and somewhere in between the leading zero of the postcode, the umlauts or the salutation get lost. In the end "Sehr geehrte Frau ," is on the paper and half of the labels sit a centimetre too low. The mail merge turns this into three clear steps: recipients, letter, output.

In the first step you get the addresses. The tool reads a CSV file from Excel, LibreOffice or a club program tolerantly: semicolon, comma or tab, quotes, umlauts from old Excel versions, lost zeros in postcodes such as 04109. Excel files in .xlsx format work directly, and so do selected and copied cells. The tool guesses from the headings which column is first name, last name, company, street or town and shows it to you for checking. Columns it does not know, such as membership number or fee, become placeholders of their own.

If you work in a team on Werkzeu.ge, you often need no file at all. Contacts and companies come from the customer file with one click, employees with their home address from the Personarium. Your organisation's permissions apply: whoever cannot read there gets nothing here either, and the tool tells you why. The recipient list shows duplicates, missing streets or towns and postcodes without five digits before a single sheet is printed.

In the second step you write the letter once. Placeholders such as {Vorname}, {Nachname}, {Firma} or your own columns are replaced for every recipient. The tool builds the salutation line from the salutation column: "Sehr geehrte Frau Dr. Weber,", "Sehr geehrter Herr Kaya," or, if no salutation is known or diverse was entered, "Guten Tag Kim Berger,". Companies without a contact person get "Sehr geehrte Damen und Herren,". If you prefer a warmer tone, choose "Liebe Frau" or first names. English letters get "Dear Ms" and "Dear Mr".

The sender comes from your Amtsprofil or from your organisation's invoice sender in Fakturen. The layout follows DIN 5008 Form B: address field 45 millimetres from the top, return address above it, information block on the right, fold and punch marks at the edge. So every letter fits the usual DL and C6/5 window envelopes. For recipients abroad the country is printed in capitals on the last line, the way the post office wants it. A preview shows you every single letter before you print.

In the third step you decide what you need: one PDF to print, single PDFs per recipient as a ZIP, or filing in the Aktenschrank in the Serienbriefe folder. For envelopes without a window there are address labels in four common A4 formats with 24, 21, 12 or 8 labels per sheet, with margins, offset and a test print for alignment, plus direct printing on DL and C6/5 envelopes. All PDFs are made in your browser. The addresses are not uploaded, and the recipient list disappears when you close the window. You remain responsible for using the addresses lawfully under the GDPR; the tool only typesets the letters and does not replace legal advice.

Features

Addresses from anywhere

CSV and Excel (.xlsx), copied cells, contacts and companies from the customer file or employees from the Personarium, mixed as you like.

The right salutation for everyone

The formal German salutation for women, men and families, or a neutral greeting when nothing is known. Doctoral titles are kept, other titles are not. Companies without a contact person get the usual neutral form.

Find mistakes before printing

Duplicate recipients, missing streets, incomplete postcodes and unknown placeholders are flagged. A preview shows every single letter.

DIN 5008 Form B

Address field, return address, information block, fold and punch marks in the right place, fitting DL and C6/5 window envelopes.

Labels and envelopes

Four common A4 label formats with margins, offset, partly used sheets and a test print, plus direct printing on DL and C6/5 envelopes.

Stays in your browser

All PDFs are made on your device. Only what you file yourself goes to the Aktenschrank, as your own files.

How it works

  1. 1

    Get the recipients

Choose a file, paste cells or tap the customer file and the Personarium. Check the column mapping, look at notes and duplicates.

  2. 2

    Write the letter once

Take the sender from your Amtsprofil or Fakturen, write subject and text with placeholders, choose the tone of the salutation.

  3. 3

    Flip through the preview

For every recipient you see the finished letter with address and salutation. If something is missing, jump back and fix it.

  4. 4

    Print or file

One print PDF, single PDFs as ZIP, filing in the Aktenschrank, labels or envelopes. Align labels with the test print first.

Frequently asked questions

Which files can I use?

CSV files with semicolon, comma or tab and Excel files in .xlsx format. Save older .xls files and LibreOffice spreadsheets as CSV or .xlsx first. Nothing is uploaded: the file is read in your browser.

How is the salutation built?

From the salutation column. Frau, Fr., w or female becomes "Sehr geehrte Frau Lastname,", Herr, Hr., m or male becomes "Sehr geehrter Herr Lastname,". Doctor and professor titles are kept, other titles are not. If nothing is entered or diverse, it reads neutrally "Guten Tag Firstname Lastname,". You can also set a fixed salutation line.

Do the letters fit my window envelopes?

The letters follow DIN 5008 Form B with the address field 45 millimetres from the top. That fits the usual DL and C6/5 window envelopes with the window on the left. Print at actual size, not "fit to page", or the address shifts.

My labels are off. What now?

Print the test print on plain paper, lay it on the label sheet and hold both against the light. If the frames sit too low or too far right, enter the offset in millimetres. The 100 millimetre line shows whether your printer shrank the page.

Are my addresses stored?

No. The recipient list lives only in the open window; only your letter template is kept in this browser. The PDFs are made on your device. Only what you file yourself goes into the Aktenschrank.

May I use any address list for a mail merge?

Only within the GDPR, for example for your own members, customers or employees you are already in contact with. Stricter rules apply to advertising to other people's addresses. The tool only typesets the letters and does not replace legal advice.

What about recipients abroad?

If the country column holds anything other than Germany, the country goes in capitals on the last address line, for example ÖSTERREICH. Country codes such as AT or CH are spelled out, and foreign postcodes stay as they are.
