What GDPR Retention Planner does

The GDPR knows no data graveyard. Under Art. 17 data subjects have a right to erasure, and the storage limitation principle demands that data is not kept longer than necessary. At the same time, commercial and tax law force you to keep certain records for six or ten years. Between these two poles a jungle of deadlines emerges, in which it is easy to lose track. The Planner brings order into it.

For each data category you set a start date and a retention period, and the tool automatically calculates the due date. Whether customer data, applicant files, cash receipts or contracts - every entry gets a clear status: active, due soon, overdue or already deleted. That way you see at a glance where action is needed.

So you overlook nothing, the Planner warns of deadlines expiring shortly and clearly marks overdue deletions. A statistics bar summarises how many entries are active, how many fall due this month and how many are coming up in the next 90 days - your early warning system against accumulated deletion obligations.

Three views show the same data from different angles. The list is good for filtering and sorting by due date, name, status or category. The timeline lays the deadlines out on a time axis. The calendar assigns them to months. So you find the display that suits how you work.

As a starting point the Planner comes with a collection of typical retention rules - including the usual periods from commercial and tax law and a reference to the relevant legal basis. You adopt a rule, adapt it to your case and do not have to gather the periods yourself. Your planned deletions can be exported as CSV.

The Planner structures and schedules your deletion obligations but makes no legally binding statement about which period applies in your specific case. Retention periods depend on the individual case and can overlap. Use the tool for planning and overview, and if in doubt have the specific periods confirmed by a professional in data protection or tax law.

Frequently asked questions

Does the Planner set the correct periods for me?

It comes with typical retention periods as templates and calculates the due date, but makes no legally binding statement for your specific case. Which period applies exactly can overlap and depends on the actual circumstances. When in doubt, confirm it with a professional.

Why do I have to delete data at all?

The GDPR, through the storage limitation principle, requires that personal data is not kept longer than necessary for the purpose. After the statutory retention periods expire, it must be deleted. A violation can become expensive.

What do the statuses active, due soon and overdue mean?

Active means the retention period is still running. Due soon means the deadline is approaching its end. Overdue marks entries whose deletion is already due but not yet documented. That way you see immediately where you have to act.

Can I export my plan?

Yes. You can download your planned deletions as CSV to import them into other systems or file them as evidence of your deletion planning.

Does the tool delete my data automatically?

No. The Planner plans and reminds, but does not carry out the deletion itself. The actual deletion in your systems remains your step, which you then mark as done in the Planner.
