The classic way to collect a signature goes like this: email the PDF, the other side prints it, signs it, photographs it at an angle with their phone, sends back an 8 MB JPEG, you print that and file it. Two printers, three days, zero traceability. The Signaturmappe replaces this paper detour with a link.

The flow is deliberately simple. You pick a PDF from your Aktenschrank or upload it straight from your device - the contract, the quote, the agreement - and add up to 10 people. Then you tap the PDF where each person should sign, several times if you like, for example for initials on every page. They can sign in parallel or in a fixed order, if the managing director has to go before the customer. Every person gets a personal link by email, which you can also copy, in case you would rather pass it on yourself via messenger.

Whoever opens the link sees the document in the browser, sees where their signature goes, and signs right there: draw with finger or mouse, or type their name. No account, no app install, no "please register first". The page also says plainly what we store as proof: time, IP address and browser.

Once everyone has signed, the Signaturmappe assembles the final PDF: your pages with the signatures in the chosen places, plus a record at the end with name, email address, time, shortened IP address and the checksum of the original file. The result lands in your Aktenschrank automatically, and everyone who signed gets it by email - attached and as a download link. Along the way a history keeps the books: sent, opened, signed. You can resend links, withdraw the folder and set link validity between 7 and 90 days.

Now the part big e-signature vendors like to hide in the fine print: legally, this is a simple electronic signature (text form under § 126b BGB) with a record. For many everyday business contracts - quotes, order confirmations, service agreements, NDAs, freelancer contracts - that is enough, because these contracts do not require statutory written form. In a dispute, the court decides freely how much the record proves, and a record with time and checksum is considerably more than a crooked phone photo.

What the Signaturmappe is NOT: a qualified electronic signature. That only exists with approved providers and identity checks. Where the law requires a signature on paper, the Signaturmappe is not enough, for example terminating a job or a termination agreement, a fixed-term employment contract (otherwise it counts as permanent), a residential lease for more than one year (the fixed term can fall away), terminating a flat lease, and a guarantee. We tell you this before you collect signatures, not after. When in doubt, ask a lawyer.

For everything else, requesting a signature should be as easy as sending an email. Pick the PDF, add the people, tap the spots, send it, and get it back signed. Signature documents use the Werkzeu.ge core infrastructure in German data centers, and your contract partners do not need an account.
